Office Administrator

We are seeking a detail-oriented and organized Office Administrator to join our team at Summerland Sweets.  This person will be our key point of contact for wholesale and logistics, while also keeping financial records up-to-date and offering support for our retail staff.  This role offers an opportunity to work as part of a close-knit team in a dynamic environment.  Our ideal candidate will have some experience in office administration, as well as experience in customer service, although on-the-job training will be provided for all aspects of the role.

 

Job Responsibilities include:

• Entering invoices, purchase orders, and other daily transactions quickly and accurately using Sage50 Accounting software
• Acting as main point of contact for wholesale inquiries and orders
• Arranging logistics in a timely manner and communicate effectively with both warehouse and shipping companies for all outgoing orders
• Managing all aspects of Accounts Receivable and Accounts Payable
• Preparing weekly bank deposits
• Managing inventory and orders from our online retail platforms
• General office and reception duties, including managing the phone and email, managing physical and digital filing systems, responding to retail inquiries, and offering retail support as needed
• Acting as point of contact for in-store pick ups and deliveries

 

Skills and Qualifications:

• Previous experience in office administration is preferred, although on-the-job training will be provided
• Previous experience with shipping and logistics is an asset
• Proficiency in Sage50 Accounting or other accounting software preferred
• Proficiency in MS Excel for data entry, analysis, and reporting required
• Proven ability to communicate effectively is required, and previous experience in customer service an asset
• Exceptional organizational and time-management skills are required, as daily workflow is mostly self-directed
• Strong attention to detail and accuracy in all aspects of work required
• Outstanding problem-solving skills and the ability to solve issues independently required
• Willingness to acquire enough knowledge about our products and business to be a resource to both customers and retail staff required

 

Job Type:  Full-Time (30+ hrs/week), Permanent

Sales Associate - Retail Store and Wine Shop

We are looking for energetic and motivated individuals to assist in our busy tasting room and retail shop. We currently have an opening for a seasonal (July - October) position, with the possibility of extending into the off-season.  Wine experience is an asset, but not necessary – we are happy to share our knowledge with you. If you enjoy interacting with people and providing excellent customer service, please send us your resume!

• Selling wine and providing wine tastings
• Assisting customers
• Serving ice cream
• Stocking shelves
• Light housekeeping
• Assistance with packaging
• Event promotion
• Other tasks as required

Required Skills and Qualifications:

• Excellent customer service
• Sales experience is an asset
• Serving it Right Certificate
• Food Safe Certificate an asset
• At least 19 years of age
• Flexible schedule (evenings and weekends)
• Able to lift approx. 40lbs (a case of wine)
